Add-In's enhance the capabilities of the CertifiTrac+ and Enterprise products.
Scanning -
Scanning licenses will reduce data entry time and incorporate certificate images into an Insured’s record. These licenses include Optical Character Recognition (OCR) technology for reading certificate data from standard Acord 25-S forms. Approximately 90% of incoming certificates are on the Acord 25-S forms, and data read into the program includes:
- Insured names and addresses.
- Policy numbers, effective and expiration dates and limits.
- Additional Insured compliance.
- Insurance companies and/or producers.
The software will scan and read from a local scanner or from PDF or TIFF files in either single or multi-page form. Single page documents can be scanned into the database from a sheet feeder in batches of up to 30 at a time. Multi-pg must be scanned one at a time. Documents other than the Acord 25-S form will be scanned as Image Only. All personnel with user rights toCertifiTrac+ will be able to review the scanned certificates and approve the data for entry into the database.
Internet Reports -
The Internet reporting software automatically publishes reports and images from your insurance document management software to your company Intranet/Internet to significantly reduce phone and e-mail inquiries and allow interested parties at any location access to exposure information. Viewers assigned a user name and password can view and print reports and images of certificates. Reports are sorted by project, department, location, etc. and deficiencies are displayed in red for easy identification.
CertifiScanServer -
The CertifiScanServer provides unattended processing of insurance certificates and related documents into the Certifitrac+ database. The process can monitor various email addresses and\or file directories of PDF and/or TIFF file formats. The process will determine if the document file is an ACORD 25 form or some other supported document and process them accordingly. Each ACORD 25 form is processed with our Optical Character Recognition engine where specific data is transferred to the Review Scanned Certificate screen in the database to be validated and verified by the user. Any non-ACORD 25 documents will be routed as an “Image-Only” document and transferred to the Link Images screen in the database to be linked into the appropriate record.
System Requirements
The current version of CertifiScanServer can monitor any file directory visible from the server or workstation running CertifiTrac+. For email monitoring, both Microsoft Exchange 2007 (sp1 or later) and POP3 server interfaces are compatible. The total number of email and directory monitors that can be setup per workstation or server is directly dependent upon processor speed and DRAM loaded into the hardware. Typically a single processor with 4 GB of ram can support 3 – 4 monitors concurrently.Configurability
Each monitor can be configured to:
- direct it’s received documents to a specific Certifitrac+ Client
- scan in either Multipage or Image Only mode
- use a specific template to OCR the document
With an Exchange email monitor, a single email address can be configured with multiple folders. Emails from specific entities would be routed to the folder for their respective Client for the appropriate monitor process.
Accounting or other Software Import/Export -
CertifiTrac+ offers an option that allows users to download and upload data to/from Windows compatible software. Insured names and contact information can be downloaded creating a record in the database. This process requires consultation with CSit Group personnel at (800) 723-4214.
